Mobile app

The register updates where the equipment is

Scan a label to pull up any asset, issue it with a signature on the spot, and walk a floor counting. On the phone already in your pocket, with or without a signal.

Why does asset tracking need a mobile app at all?

Because a register stays accurate in proportion to how cheap it is to update. If recording a handover means walking back to a desk, it competes with everything else in that person’s next five minutes and loses. On a phone, at the stores cupboard, it takes about fifteen seconds.

On-device

Everything works where the work happens

Scan to view

Point the camera at a QR label to pull up any asset instantly — holder, condition, warranty and history.

Sign on the device

Capture a handover or return signature in the moment, stored on the custody record.

Count a floor

Scope an audit to a room or department, walk it scanning, and close with a note.

Truly offline

A local queue keeps you working with zero connectivity — basements, riser cupboards, lifts.

Automatic sync

Changes flush to the server on reconnect, with a visible sync badge so nothing is silently pending.

Photo autofill

Snap a photo and let AI vision suggest category, brand, model and serial, so registering is not typing.

On the device

Scan, and the record is already open

Point the camera at a QR label and the asset opens — holder, condition, warranty, history. No signal needed: the scan queues locally and syncs when the connection returns.

That is the whole trick. Somebody scans because they want to know whose laptop this is, and the scan writes a dated record as a side effect. Nobody did any admin.

Counting

Walk the floor, scanning

Scope a count to a floor, a room or a department, walk it scanning, and each item records as verified or missing as you go. Closing it captures a signature and produces an exportable document.

Under an hour for a couple of hundred items, and the discrepancies are recorded where they were found rather than transcribed afterwards.

Why the phone, and not a desk

Almost every asset register that goes stale does so for the same reason: the update costs more effort than skipping it. Not because anybody decided the register did not matter — it simply never enters the comparison against getting a new starter set up before their first meeting.

The fix is to make the update a by-product of something useful. Somebody scans a label because they want to know whose laptop this is, or whether the monitor in the meeting room is still under warranty. They get their answer, and the scan writes a dated record as a side effect. Nobody did any admin.

The same logic applies to handovers. A signature captured at the moment a device changes hands happens because it is part of the handover. A form to fill in later is a task, and tasks lose.

In practice

What people actually do on it

Onboarding a new starter

Issue the laptop, dock, monitor and headset in one action against their name, signed for on the spot and acknowledged before they sit down.

Someone asks whose this is

Scan the label on the monitor nobody claims. The record says who holds it, since when, and which desk it was last scanned at.

A device goes for repair

Raise the fault from the phone, which opens a ticket and takes the item out of the bookable pool so nobody reserves something on a bench.

The quarterly count

Scope to one floor, walk it scanning, mark anything missing as you go, and close with a signature. Under an hour for a couple of hundred items.

Offboarding

Pull up everything the leaver holds, check each item back in with a condition note, and close with a signed clearance.

A desk move

Scan items into their new location as they are unpacked, so a floor reshuffle does not quietly invalidate the register.

FAQ

Questions about the app

Do I need a separate barcode scanner?

No. The phone camera reads QR codes and barcodes, which means everyone who handles equipment already carries a scanner. Bluetooth scanners work too if you own them and prefer a trigger, but nothing needs buying to get started.

Does the app work without an internet connection?

Yes. Scans, handovers, returns and audit checks are written to a local queue on the device and sync when a connection returns. Basement stores, riser cupboards and lifts do not stop a record being made.

Is there an iOS and Android app?

Both, from the same codebase. There is no feature gap between them, and the web console covers anything you would rather do at a desk.

Can staff who are not admins use it?

Yes, and they should. Every plan includes unlimited users, so the office manager, the IT technician and whoever is covering reception can all record a handover. A register maintained only by licensed admins is a register updated second-hand.

Can someone sign for equipment on the phone?

Yes. The handover captures a signature on the device and stores it on the custody record. That is the moment accountability is created, and it takes about fifteen seconds.

What happens if a QR label is damaged?

Reprint it and scan it against the existing record. The asset keeps its whole history, so a replaced label never costs you the audit trail.

Can we do a stock count from the app?

Yes. Scope a count to a floor, a room or a department, walk it scanning, and each item records as verified or missing as you go. Closing the count captures a signature and produces an exportable document.

Try it on your own equipment

Print a sheet of labels, tag ten things, and run a real handover. The free tier has unlimited users.
