Per-employee pricing is coherent for a tool driven by HR data. It fits less well if the people handling equipment are a small subset of headcount.

What Stackroom and Setyl are each built to do

Software asset management is a genuinely different discipline

Setyl's strongest claim is that hardware and software live in one place. For an organisation where SaaS sprawl is a real cost — dozens of tools, licences nobody cancelled, spend nobody owns — that consolidation is worth a lot, and Stackroom offers none of it.

We do not do software licence management, we are retiring the licence module we had, and we would rather say so plainly than let you discover it in month two. If unused Figma seats are costing you more than unreturned monitors, you are looking at the wrong product in us.

Where physical-first earns its place

The moment equipment changes hands, software-centric tools thin out. An assignment field records that a laptop is against a person. It does not record that they signed for it, what condition it was in, what condition it came back in, or who had it before them.

That matters twice. At a dispute, where a name in a field is not evidence of acceptance. And at an audit, where 'assigned to' is not the same as 'physically verified present on this date by this person'.

It also matters for everything that is not a laptop. Monitors, docks, chairs, AV hardware, meeting-room equipment, access cards — none of them have a licence, none of them appear in an identity provider, and in most offices they outnumber the machines.

HR automation, and what it does not reach

Setyl's HR integrations mean a leaver in your HRIS triggers a workflow without anyone remembering. That is genuinely good, and the equivalent in Stackroom is a notification plus an offboarding list rather than an automated chain.

What automation cannot do is the physical half. Somebody still has to receive the laptop, check its condition, and confirm the dock and both chargers came back too. The list is what makes that a checklist rather than an investigation, and the signature is what makes it evidence.

    Take a full CSV or XLSX export of your asset list, including serial numbers, categories, locations and any custom fields you rely on. Export your people list separately if Setyl keeps one.

    The importer previews your file and lets you map each column to a Stackroom field. Categories, locations and departments are created from the values in your file, so you do not build the hierarchy by hand first.

    Loading people first means custody assignments resolve to a real person on the asset import rather than needing a second pass.

    Check a sample, then go

    Spot-check twenty records against the old system before you invite the team. Re-importing is safe — matching on an existing code updates rather than duplicates.

Nothing is deleted from Setyl by importing into Stackroom, so you can run both in parallel for a week while people get used to the change.

Questions, answered

Does Stackroom manage software licences?

No. There was a licence module and it is being retired, so treat it as absent. If software and SaaS licence management is central to your requirement, Setyl covers it properly and we do not.

Can Stackroom integrate with our HR system?

Through the REST API rather than a prebuilt connector. A joiner or leaver in your HRIS can create or flag records programmatically. It is more work than Setyl's native integrations and it does work.

What does Stackroom add over Setyl for physical equipment?

Signed handover and return with a PDF agreement, condition captured at both ends, a full custody chain, cycle-count audits that close with a sign-off, AMC and CMC contract tracking, and coverage of equipment that is not IT.

Which is better for a company with heavy SaaS spend?

Setyl, clearly. SaaS sprawl is a licensing problem and we do not solve licensing problems. If you also have a physical estate worth controlling, the two are complementary rather than competing.

Can we import our data from Setyl?

Yes. Export your inventory to CSV and import it into Stackroom. Categories, locations and custom fields map across, and our team will help with the awkward parts of a larger migration.

How long does switching actually take?

Most teams import in the morning and run a real checkout the same afternoon. There is no implementation project and no professional services fee. The longest part is usually relabelling, and that can be done gradually.

Do we have to relabel everything?

No. If your existing labels carry a code you already track, import that code and keep using them. New QR labels can be printed on standard address stock as and when you need them.

Is Setyl free?

No. Setyl has no free plan. Stackroom has a permanent free plan with unlimited users and no card required.

How is Setyl priced compared with Stackroom?
