Maintenance & CMMS
Stackroom vs Limble CMMS
Limble is a well-liked CMMS with a reputation for fast adoption among maintenance teams, strong preventive maintenance and clear reporting. Stackroom is not a CMMS — it tracks who holds equipment, where it is, and whether it came back.
Stackroom vs Limble CMMS: which should you choose?
Limble is the better choice for maintenance teams managing work orders, preventive maintenance and asset uptime, and it is unusually easy to adopt for its category. Stackroom is the better choice when equipment moves between people and sites and the problem is accountability rather than reliability.

Honest take: Limble leads on maintenance management and ease of adoption within that category. Stackroom leads on custody, bookings and physical audits. Different categories, often both needed.

As with any CMMS, users means maintainers. If the people handling your equipment are not maintainers, that model does not stretch to cover them.
The difference
What Stackroom and Limble CMMS are each built to do
This is a category comparison, not a feature one
People land on this comparison usually because both tools appeared in the same search, and search engines are not good at distinguishing a CMMS from an asset tracker. They are different products for different departments.
Limble is bought by maintenance. Its job is to make sure equipment is serviced on time, faults become tracked work, spares are on the shelf, and someone can show that uptime improved. It has a particularly good reputation for getting adopted rather than shelved, which is the usual failure mode in that category.
Stackroom is bought by operations, facilities, IT or a site lead. Its job is to make sure equipment does not disappear, that everyone knows who has what, that two teams do not plan around the same item, and that a count can be produced when someone asks for one.
Fixed plant versus mobile equipment
A useful proxy: does your equipment stay in one place?
Fixed plant — compressors, HVAC, conveyors, production machinery — stays put and needs servicing. The interesting events are failures and interventions. That is a CMMS.
Mobile equipment — tools, instruments, cameras, laptops, radios, test gear — moves between people and sites. The interesting events are handovers, returns and locations. That is an asset tracker.
Organisations with both usually run both, and that is not a failure of either product.
What Stackroom covers of the maintenance job
Enough for organisations without a maintenance function, and not enough for organisations with one.
Present: faults raised from a phone including by whoever is holding the item, tickets with statuses and costs, a service history on the asset, recurring schedules for servicing and statutory inspections, warranty dates with reminders before expiry, and equipment blocked from issue while a ticket is open.
Absent: spares inventory tied to work, technician scheduling and workload, meter-based triggers, downtime and reliability analytics, and any notion of a maintenance backlog as a managed queue.
Why teams switch
What we hear from teams leaving Limble CMMS
Nothing was breaking — it was leaving
Preventive maintenance does not help with equipment that is in perfect working order and no longer on site.
The users were not maintainers
Per-user CMMS pricing is built for technicians. It does not extend sensibly to every team member who picks up a tool.
They needed reservations
Shared equipment needs availability checking. A work-order system schedules people against assets, not assets against other people.
The other side
When Limble CMMS is the better choice
We would rather you picked the right tool than picked ours.
- You have fixed plant that needs planned maintenance and fails when it does not get it.
- You have a maintenance team and need work orders, backlog and technician scheduling.
- You need parts inventory tied to work, or meter-based maintenance triggers.
- You need to report on downtime and asset health to justify maintenance spend.
Switching
Moving from Limble CMMS
- 1
Export from Limble CMMS
Take a full CSV or XLSX export of your asset list, including serial numbers, categories, locations and any custom fields you rely on. Export your people list separately if Limble CMMS keeps one.
- 2
Map the columns once
The importer previews your file and lets you map each column to a Stackroom field. Categories, locations and departments are created from the values in your file, so you do not build the hierarchy by hand first.
- 3
Import people, then assets
Loading people first means custody assignments resolve to a real person on the asset import rather than needing a second pass.
- 4
Check a sample, then go
Spot-check twenty records against the old system before you invite the team. Re-importing is safe — matching on an existing code updates rather than duplicates.
Nothing is deleted from Limble CMMS by importing into Stackroom, so you can run both in parallel for a week while people get used to the change.
FAQ
Questions, answered
Should we replace Limble with Stackroom?
Almost certainly not, if Limble is doing maintenance work for you. They solve different problems. Add Stackroom if you also have a custody problem; do not swap one for the other.
We have both fixed plant and mobile tools. What now?
The common arrangement is a CMMS for the plant and Stackroom for the mobile equipment, with webhooks connecting them where a fault in one should raise work in the other.
Can Stackroom handle statutory inspections?
Yes. Recurring inspection schedules raise tickets ahead of the date, record results, and can block an out-of-certification item from being issued.
Does Limble track custody?
Not in the sense Stackroom means. It knows where an asset is and who worked on it, not that a named person signed for it and still holds it.
Can we import our data from Limble CMMS?
Yes. Export your inventory to CSV and import it into Stackroom. Categories, locations and custom fields map across, and our team will help with the awkward parts of a larger migration.
How long does switching actually take?
Most teams import in the morning and run a real checkout the same afternoon. There is no implementation project and no professional services fee. The longest part is usually relabelling, and that can be done gradually.
Do we have to relabel everything?
No. If your existing labels carry a code you already track, import that code and keep using them. New QR labels can be printed on standard address stock as and when you need them.
Is Limble CMMS free?
No. Limble CMMS has no free plan. Stackroom has a permanent free plan with unlimited users and no card required.
How is Limble CMMS priced compared with Stackroom?
Per user, calculated rather than listed — the pricing page carries no figures and routes you to a calculator. Stackroom prices on capability and capacity instead: users are unlimited on every plan, and tracking more equipment never moves the bill on its own.
What are the Limble CMMS asset and user limits?
Assets: Not published. Users: Priced per user; no figures published. Locations: Multi-location tooling is an Enterprise capability. Every Stackroom limit is published on our pricing page and served from our billing API, so it matches your invoice.
