An assignment field did not settle the dispute

Setyl records that a device is assigned to a person. When someone insists they returned it, or that it was scratched when they got it, the question becomes whether they signed and what condition was noted at each end. That is a different record, and the gap shows up at the worst moment.

Facilities asked to join

Meeting-room screens, furniture and access cards have no licence and no identity record, so a tool built around HR and identity data has no natural place for them. The usual outcome is a second spreadsheet run by facilities — the very thing an asset tool was bought to remove.

Is software spend a real line in your budget?

Migration

Moving your data out of Setyl

Setyl's record mixes two kinds of thing: physical assets, and software or SaaS licences, both linked to people drawn from your HR and identity systems. Only the first half has anywhere to go in Stackroom. Export the hardware — serial numbers, models, categories, assigned person, purchase and warranty dates — and leave the licence data in Setyl or move it to whichever tool takes over software.

People are the easy part and the important one. Because Setyl's people list comes from HR, it is usually clean: import it into Stackroom by CSV first, then import assets so each assignment resolves to a real person. Categories, hierarchical locations, departments and custom fields cover the rest. Bring purchase price and purchase date across if you want book value from day one, and check the importer maps them before relying on it.

What does not carry across: the HR-triggered workflows, the integration data and any history of automated actions. Assignments arrive as current holders, not as a signed custody chain — the chain starts with the first handover recorded in Stackroom. If you want a dated starting point for existing holders, ask each to confirm receipt of what they hold.

If much of your hardware sits with remote staff, relabel opportunistically: attach QR labels as equipment passes through an office or comes back for repair, and search by serial number until then.
