AssetSonar alternatives
AssetSonar alternatives
AssetSonar charges for every asset, every month. That is fine for a laptop fleet, and awkward on the day facilities wants to add three hundred chairs — or the day you notice your helpdesk already does what the service-management tier was for.
Which AssetSonar alternative is right for us?
Stackroom suits teams leaving AssetSonar because the estate has spread beyond IT and custody needs signatures, audits and cover. Reftab suits a small IT team that wants hardware tracking at a flat price. Snipe-IT suits anyone who can self-host and wants unlimited assets. Freshservice suits those who need a full service desk.

Why teams start looking
The usual reasons AssetSonar stops fitting
Every new asset raised the bill
AssetSonar prices per asset, per month, with volume discounts starting at a thousand assets. For a laptop fleet that is predictable. For the long tail — monitors, docks, headsets, adaptors — it creates a quiet incentive to leave cheap items off the register.
Those are exactly the items that go missing, so the saving gets paid back at the audit.
Facilities wanted the same register
AssetSonar is IT-oriented. It can store furniture or AV, but its workflows are built around devices. When another department asks to join, the choice is between bending an IT tool to fit or letting them start a spreadsheet, and neither is what anyone wanted.
A check-out record was challenged
A check-out shows an item went to a person. When that person says the screen was already cracked, what matters is whether they signed at handover and what condition was recorded at return. A custody record answers that; a check-out log usually cannot.
The service tier duplicated the helpdesk
Requests, incidents, problems and change sit on AssetSonar's dearer per-asset tier. Teams that already run a helpdesk sometimes find they are paying a per-asset premium for features they use somewhere else.
When staying on AssetSonar is the right call
- Your estate is IT hardware and software together, and dropping software and licence tracking would leave a gap you would fill with a second tool.
- Device data arrives from MDM through AssetSonar's integrations, and swapping that for imports or a scripted API job would be a real step back for your team.
- You use its service-management features and have no other helpdesk, so splitting assets from tickets would add a system rather than remove one.
- Your asset count is modest and stable, the per-asset bill is predictable, and nobody is tempted to leave items unregistered.
The shortlist
Alternatives to AssetSonar worth evaluating
Ordered by how well each fits someone leaving AssetSonar. Not all of these are us, and the one that is is labelled.
- 1.
Stackroom
That is usStackroom answers the two complaints that most often follow AssetSonar: equipment outside IT, and custody that has to stand up in a dispute. Any asset type sits in one register; handover and return are signed, condition is recorded at both ends, and audits mark each item verified or missing. Unlimited users on every plan.
- Pick it if
- Your register is spreading to facilities, AV or office equipment, and the questions you get asked are about who signed, what condition, and what is covered.
- Watch out for
- You give up software and licence tracking, prebuilt MDM integrations and service-desk features — AssetSonar has all three and Stackroom has none. Check your own asset count against the plans on the pricing page rather than assuming it works out cheaper.
- 2.
Reftab
Equipment tracking & checkoutReftab changes the arithmetic that usually starts the search: hardware asset management is a flat monthly price with unlimited users rather than a per-asset rate. Software asset management is available on top, charged per tracked software user.
- Pick it if
- You are a small IT team whose estate will stay IT, and the per-asset bill is the whole reason you are looking.
- Watch out for
- Paid asset caps are not published, so ask before assuming the long tail is free to add. Audits are basic and maintenance and depreciation limited — a lighter register than AssetSonar, not a sideways move.
- 3.
Snipe-IT
IT asset managementSnipe-IT carries unlimited assets and users on every plan, hosted or self-hosted, and tracks licences, accessories and consumables alongside hardware. For someone whose objection to AssetSonar is paying per asset, it takes the meter away entirely.
- Pick it if
- You have someone who can run a server — or you will pay for hosting — and your updates happen at a desk rather than on foot.
- Watch out for
- It is web-first, audits are basic and there are no bookings. Self-hosted, the backups, upgrades and restore tests are yours, and that is the real price.
- 4.
Freshservice
IT asset managementIf what you valued in AssetSonar was the service management, a full ITSM platform is the upgrade rather than a sideways step: incident, change and problem management, with an asset module and CMDB relationship modelling in the same product.
- Pick it if
- You need a proper service desk with assets attached to tickets, and the people who touch assets are already agents.
- Watch out for
- It is priced per agent plus asset units, with 100 ITAM asset units bundled and more bought on top — two meters instead of one. People who handle equipment but do not work tickets are awkward to license.
- 5.
EZOfficeInventory
Equipment tracking & checkoutEZOfficeInventory is the broader, more configurable equipment platform: custody, bookings, maintenance, audits and purchase orders in one system. Where AssetSonar is shaped around IT, it is built for equipment in general.
- Pick it if
- You have a named system owner with time to configure it, and you want procurement in the same tool as the register.
- Watch out for
- It is also priced on item count, chosen on a slider, so it will not fix a bill that grows with the register. Audits, custom fields and purchase orders sit on the second tier and above.
How to choose
Three questions that separate this shortlist
Is the per-asset bill the problem, or the shape of the tool?
If only the bill, Reftab's flat hardware price or Snipe-IT's unlimited plans deal with it directly. If the shape — non-IT equipment, custody evidence, audits — then Stackroom. EZOfficeInventory broadens the shape but keeps an item-count meter.
Where will software licences live?
Snipe-IT tracks licences; Reftab charges per software user for its software module. Stackroom does not manage software licences at all. For Freshservice and EZOfficeInventory, test your specific licence requirement in a trial rather than assuming. Decide where licences live before you pick the hardware tool.
Do you need a helpdesk in the same product?
If yes, Freshservice is the one on this list built as a service desk. If you already run one elsewhere, drop the requirement — it opens up Stackroom, Reftab and Snipe-IT, and stops you paying for ticketing twice.
Migration
Moving your data out of AssetSonar
AssetSonar keeps hardware, software, check-out history and, on the dearer tier, service records together. Export the hardware list with serial numbers, categories, locations, current assignee, purchase details, warranty and contract dates, and any custom fields. Software and service-desk records need their own plan: they go to whichever tool takes them, because Stackroom holds neither.
Into Stackroom, load people first by CSV so assignments land against named people, then assets. Categories, hierarchical locations, departments and custom fields take what AssetSonar held. Warranty and contract data becomes cover records — manufacturer, extended, AMC or CMC — with provider, policy number and expiry, and one contract can cover many assets.
Existing labels can stay if they carry a code you already track: import it as the asset tag or barcode and keep scanning as before. Where they do not, relabel with QR codes as items pass through, starting with the shared and non-IT equipment AssetSonar never held. Equipment at employees' homes can be imported against its holder and relabelled on its next visit to an office.
What will not arrive: MDM sync, the software catalogue, tickets, and AssetSonar's check-out history as a signed chain. Imported assignments are a starting point; the custody trail with signatures and condition begins with the first handover in Stackroom.

AssetSonar alternatives — common questions
Is there an AssetSonar alternative that does not charge per asset?
Reftab prices hardware asset management at a flat monthly figure with unlimited users. Snipe-IT carries unlimited assets on every plan and is free to self-host. Freshservice bundles asset units with per-agent pricing, so it still meters assets, and EZOfficeInventory is priced on item count. Stackroom has unlimited users on every plan; its pricing page lists current plans.
What do we lose moving from AssetSonar to Stackroom?
Software and licence tracking, prebuilt MDM and discovery integrations, and service-desk features. In their place: signed handover and return with condition, a clearance certificate for leavers, bookings, maintenance tickets with actual cost, AMC and CMC cover, depreciation, and a REST API with 41 webhook events. If MDM sync is essential, plan a scheduled API job or stay.
Does AssetSonar work for non-IT equipment?
It can store it, but the tool is IT-oriented and its workflows are built for devices. The practical test is whether facilities staff would record their own handovers in it; if not, the register goes second-hand. Stackroom gives a chair, a projector and a laptop the same custody, audit and cover workflows.
We use AssetSonar's audit feature. How are Stackroom's audits different?
Stackroom's audits are scoped cycle counts: each item is marked verified or missing with notes, the location where the check happened is recorded, and the audit closes with a note. Report templates cover the summary, items missing at audit, findings, coverage by site and items not yet checked. Run one on a real shelf in both before deciding.
Which AssetSonar alternative has a free plan?
Stackroom has a free tier with unlimited users. Reftab has a free-forever plan for 50 assets, with accessories and licences not counted. Snipe-IT is free to self-host with no caps. AssetSonar offers a trial on request rather than a free plan, and Freshservice and EZOfficeInventory offer time-limited trials.
