How to choose

Three questions that separate this shortlist

Is RFID essential?

If yes, the choice is EZOfficeInventory, Cheqroom with its RFID add-on or Enterprise plan, or staying on itemit. If no, the field opens to Stackroom, Reftab and AssetTiger, and you can choose on workflow instead.

Is the gap people, or process?

If it is only the user cap and asset ceiling, AssetTiger and Reftab fix that cheaply. If it is bookings, approvals, repairs and counts, you need a tool built around those workflows — Stackroom, or Cheqroom if bookings are the whole of it.

Is it all IT?

Reftab suits a register of laptops and phones well. Tools, instruments and AV equipment rule it out and point to Stackroom or Cheqroom.

Moving your data out of itemit

itemit's model is simple — assets with tags, locations, photos and assignments — which makes it one of the easier tools to leave. Export the asset list with tag codes, serial numbers, locations and any custom fields, plus your user list. Assignment history will not replay into another tool, so keep the export archived.

In Stackroom, locations become a site, building and room hierarchy, groupings map to categories or tags, and custom fields come across as your own field definitions. People import by CSV before assets. If the codes on your itemit labels are plain identifiers, import each one as the asset tag or barcode and the labels keep scanning; if they encode a link into itemit, plan to relabel.

RFID tags are the part that does not carry across. Stackroom cannot read them, so RFID-only items need a QR or barcode label before they move. Items currently assigned are best checked out afresh with a handover signature as they next change hands, which gives each one a proper custody record from day one.
