The CMDB is maintained, not used

A configuration database pays off when change and incident processes lean on it. In smaller IT teams it often becomes a record kept because it exists, with effort going into relationships nobody queries.

When that is the case, the CMDB is a cost that makes the alternatives list longer, not shorter.

The people moving equipment could not use it

AssetExplorer is designed for IT professionals, reasonably enough. When the register has to be kept by a stores clerk, an office manager or a technician between jobs, updates arrive second-hand and late, and a set of ladders has nowhere sensible to go in a CMDB at all.

Watch out for
Agent-based discovery is a rollout project, much like the deployment you have already done once. On-premise hosting, concurrent seats and multiple SAML are Enterprise-only, so the self-hosted route is the dearest one.

Pick it if
Data residency still matters, you have infrastructure staff, and a lighter IT register would serve you better than a CMDB.
Watch out for
It is a web-first IT register rather than a configuration management platform, so check it covers any scanning or relationship mapping you use today before assuming it does. Self-hosting also means no automatic backups and community-only support.

Watch out for
Discovery is what it aims at. Custody is basic assignment and anything off the network is manual entry, so most teams pair it with a separate register.

How to choose

Does the data really have to stay on your own servers?

If yes, and it has been tested, the list is short: InvGate at its Enterprise tier, or self-hosted Snipe-IT. Stackroom is off it, as a managed service; confirm hosting options with any other vendor directly. If the requirement turns out to be an assumption, the full list opens up — find out before you shortlist.

Is anyone actually using the CMDB?

If change and incident management depend on relationship mapping, Freshservice or InvGate keep that capability. If the CMDB is maintained out of habit, you can drop it and choose on custody, discovery or cost instead, which is where Stackroom, Lansweeper and Snipe-IT come in.

Who needs to update records outside IT?

AssetExplorer's users are IT professionals. If stores, facilities or field teams need to issue and return equipment themselves, look for unlimited users and a mobile app that works offline. Stackroom has both; with the ITSM platforms, ask how non-agents would be licensed before you assume they can join.

Migration

Moving your data out of ManageEngine AssetExplorer

AssetExplorer holds three kinds of data you should treat differently: scanned hardware and software, the CMDB's relationships, and the records people maintain by hand — assignments, contracts, purchase details. Only the last group, plus basic hardware identity, is worth bringing into Stackroom.

Because the database sits on your own server, take a full backup before changing anything. Then export the asset list with names, serials, product types, sites, departments, assigned users and custom fields, using whatever export your version offers. Product types map to Stackroom categories, sites to hierarchical locations, departments to departments, and custom fields to fields you define first. Import people by CSV, then assets.

Purchase cost and date carry across for depreciation: choose SLM or WDV per asset with useful life and salvage value, and compare book values against AssetExplorer's for a sample before trusting the totals. Contracts are re-created as Stackroom cover records, where AMC and CMC contracts and one contract spanning many assets have a natural home.

Relationships, software inventory and scan history do not carry across. If IT still needs them, keep AssetExplorer for the IT estate and let Stackroom take custody and the non-IT equipment. Otherwise, archive a final export before the server is retired, because once the server goes, the history goes with it.

Is there an on-premise alternative to AssetExplorer?

Can Stackroom import our AssetExplorer data?

Does leaving AssetExplorer mean leaving the ManageEngine suite?
